THE POSITION
Snug Harbor seeks an experienced professional to provide oversite and strategic direction for the maintenance, repair, capital investment and operations of campus buildings, grounds and infrastructure. Having just completed a site-wide master plan—including a 15-year plan for capital investment, a comprehensive existing conditions report and a Preventative Maintenance Plan—the Director of Operations (DO) plays a key role at an exciting time for Snug Harbor. This position requires demonstrated problem-solving ability; technical expertise managing building systems; superior (project and staff) management skills; technical writing; interpersonal and communication skills and a process-oriented vision for long term growth. The DO oversees all grant-funded capital projects and is the primary Snug Harbor liaison for large scale capital projects on campus managed by the NYC Department of Design & Construction. This is a senior level position which interacts extensively with other managers, constituents, contractors, City agencies, peer cultural organizations, Board members and other stakeholders. and reports directly to the CEO. The DO is responsible for staff supervision, contract management, procurement and budgeting, and participates and supports in the development and implementation of organization-wide policies, practices and goal-setting.
RESPONSIBILITIES:
- Oversees and consistently reviews the work of Operations, Facilities and Security departments
- Serves as Snug Harbor’s representative for City-managed capital projects and assumes leadership in master planning initiatives and privately funded capital projects
- Supports the Facilities & Operations Manager and Operations Coordinator to develop and implement goals, objectives, standard operating procedures and a preventative maintenance plan for the site’s infrastructure and building systems; makes recommendations for improvements and monitors projects to ensure compliance with industry standards
- Prepares relevant contracts, bid packages and requests for proposals to procure services, supplies and equipment
- Manages design and construction budgets and contracts; oversees—either directly or through support staff—conditions in the field to ensure compliance with industry standards
- Manages department budget and expenditures ensuring attainment of fiscal targets throughout the year
- Triages emergency situations relating to operations and communicates appropriate and accurate information to relevant senior leadership and tenants.
- Proposes projects for future grant proposals to improve site safety, accessibility and the visitor experience; supports Development staff in drafting scope of work for proposals
- Supports CEO and Finance Dept with risk assessment and loss prevention measures; participates in insurance related site inspections and recommendations
- Provides strategic direction and logistical oversight to Agriculture and Horticulture departments
- Keeps complete records related to compliance with local, state, and federal regulations in fire safety, electric safety, elevator safety, cooling tower safety, and appropriate maintenance of building and site systems
- Manages special projects and initiatives, as needed
REQUIREMENTS:
- Bachelor’s degree or equivalent education or certificate(s) or combination of education and demonstrated experience in Facilities Management, MEP, HVAC, Engineering, Construction Management, Architecture or related field
- Ability to read construction drawings, plans and specifications
- Knowledge of building systems: mechanical, electrical, plumbing, HVAC, fire safety and control systems
- Experience in establishing budgets and proposals, preparing schedules and monitoring adherence to terms
- Proficiency with Microsoft Word, Excel and PowerPoint
- Experience in managing staff with diverse skills. The ideal candidate will possess strong management and coordination skills especially in these areas:
- Ability to develop, mentor and drive staff to achieve at the highest levels
- Ability to gain cooperation and influence colleagues across the organization
- Ability to communicate clearly and concisely, both orally and in writing and for different audiences
- Ability to work under pressure and balance field and office duties
- Ability to interact and manage unionized staff in accordance with collective bargaining agreement
- Experience managing unionized staff is a plus
- Experience (and a passion for!) historic preservation, parks and public space operations and maintenance preferred
- Applicable OSHA Certifications preferred
- Candidates should be comfortable working in a small, fast-paced and flexible office environment
